Administrative Assistant- Real Estate

 SUMMARY:

This position offers a great opportunity to be involved in a highly visible and successful real estate company.  Work in a busy and exciting environment providing office support with a variety of clerical activities and related tasks. This position will be responsible for answering and directing incoming calls;, maintain and update data into excel worksheets, , and flow of correspondence.  Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.

This position requires strong written and oral communication skills, and strong interpersonal skills.  Qualified candidate will have excellent customer service skills;  strong working knowledge of Excel, Outlook, and Word,  experience utilizing Internet; excellent data entry skills; strong interpersonal; ability to multi-task; ability to meet tight deadlines and maintain focus.

  • Greets and directs visitors to the sales office
  • Will take and retrieve messages for various personnel
  • Provides callers with information such as company address, directions to the sales office location, company fax numbers, company website, and other related information.
  • Organizes and prioritizes large volumes of information and calls.
  • Maintain and updated excel worksheets
  • Received, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)
  • Assists in the ordering, receiving, stocking and distribution of office supplies.
  •  Photocopying, faxing, scanning, filing and collating.
  • Works independently and within a team on special nonrecurring and ongoing projects

Job Requirements

 

QUALIFICATIONS:

HS diploma or equivalent, , 2 years’ experience with data entry and excel, MS Office Suite, Outlook, Internet, general administrative experience, desire to promote Best Practices, ability to handle multiple tasks and coordinate various assignments while maintaining poise and excellent customer service, ability to work independently, strong organizational , time-management and communication skills.

PHYSICAL DEMANDS:

Must be able to multi-task in a fast paced environment and adapt well to changes. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. 

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is required to use hands to finger, handle, or feel and reach with hands and arms.  The employee must occasionally lift and/or move up to 30 pounds.
