Office Coordinator at Honolulu

Job Description

We a strong Engineering firm who is in need of a Front office candidate to manage the front and be the lead of one of our office members. We would like it if this person can is looking for a career and wants to stay in this busy industry.

 

  • Provide administrative support to the office; HMSA Administrator
  • Prepare and edit/format correspondence, proposals, construction notes and technical specifications
  • Process and notarize contracts, amendments and change orders
  • Prepare statements of qualifications for solicitations/procurements to the State of Hawaii, City & County of Honolulu and Counties of Hawaii, Maui and Kauai
  • Prepare resumes and qualifications, Federal Form SF330 for government bids
  • Prepare renewals for annual business licenses, professional liability insurance, certificates of insurance, compliance certificate, professional engineer licenses
  • Maintain corporate and administrative files
  • Remit plans, drawings and tracings to City, State and clients for review and approval
  • Sign-up/register attendees for workshops, seminars and meetings
  • Inventory and order office supplies
  • Keep track of office equipment, service contracts and serial numbers
  • Prepare items for delivery, arrange pickup; U.S. mail and courier
  Reception/front desk duties; petty cash box, filing

Job Requirements

  • Proficient in Microsoft Office Word, Excel and Outlook 2007, Adobe Acrobat 9roficient in Microsoft Office Word, Excel and Outlook 2007
  • Type 50wpm
  • Excellent Phone etiquate
  • 5 years experience front office
  • Will do deliveries, need car HDL/Clean abstract
  • Construction industry very helpful
  • If have a notary that is ideal
