Medical Office Manager
Group practice of four general surgeons is seeking a Full-Time Medical Office Manager. The responsibility of the Office Manager is to manage & supervise the operational & administrative functions, activities, and projects of the surgical clinic in accordance with the organizations policies & applicable laws. The Office Manager is responsible for carrying out all established policies and oversees the day-to-day functions of the office. The Office Manager will be responsible for supervision of 5+ employees.
Essential Duties & Responsibilities include the following but not limited to are:
Recruiting, hiring, and development of employees to ensure the office operates in an efficient manner & that patients receive high quality customer service. Plans, assigns and directs staff with front office & clinic duties. Maintains & Processes accounts payables. Processes performance evaluation, rewards, & disciplining employees. Addressing complaints & resolving problems. Updates & maintains physicians licenses & credentialing with various insurance companies & medical facilities. Review internal policies & procedures & update as needed. Functions as clinic liaison with patients, hospitals, physicians offices, & community. Maintains on-site medical records administration & ensure that all state & federal regulations governing the release of information is followed. Need to be able to multi-task & work in various areas as needed. Assists front office & clerical staff in developing & implementing short & long-term work plans & objectives. Assists with scheduling of tests & treatment plan. Ensures office & clinic supply inventory is current & replenished. Ensures medical coder is entering charges into EMR in a timely manner & maintains delinquent accounts. Assists in maintaining patient files, records, & other information. Performs other duties as assigned.
Qualifications
Bachelors degree in Business Administration or Health Care Administration. Minimum of three years medical office experience of a large group practice (w/HR experience a plus). Appropriate experience may be substituted for educational requirements. EMR experience is needed, strong organizational & communication skills & excellent patient standards. Clinical experience preferred. Previous management or supervisory experience preferred. Experience in quality health care & or patient safety regulatory guidelines. Knowledge of office management & administration procedures. Knowledge of computer technology, including word processing, spreadsheet, reports, & business correspondence. Knowledge of HIPAA guidelines. Have knowledge of insurance verifications/pre-certifications/authorizations (including Workers Compensation). Must be a team player. Must have excellent organizational & time management skills. Must have excellent interpersonal, written, & oral communication skills. Knowledge of standard business machines common to most offices. Have knowledge of office management & administrative procedures, & the ability to supervise & review the work of others. Ability to be observant with your surroundings while performing other tasks.
Reasoning Ability
Ability to react calmly & effectively in emergency situations. Ability to proceed on own initiative using independent judgment & discretion. Ability to read & interpret documents such as safety rules & operating & maintenance instructions & procedure manual. Ability to write routine reports & correspondence. Ability to speak effectively before groups of patients/employees of organization. Ability to solve practical problems & deal with a variety of variables. Ability to interpret a variety of instructions. Ability to interact & communicate effectively with providers, professional, administration & higher level management personnel. Ability to maintain strict confidentiality.
Language Skills
Ability to read & interpret documents such as safety rules, operating & maintenance instructions, & procedure manuals. Ability to write routine reports & correspondence. Ability to speak effectively before groups of patients or employees of organization.
Computer Skills
To perform this job successfully, an individual should have knowledge of Quickbooks, Internet software, Microsoft Office, EMR (Allscripts) & practice management scheduler program (ConnxtMD).
Physical Demands
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk, climb, balance, stoop, kneel, lift, and listen. The employee will need to answer telephones and may sometimes need to speak slowly & clearly to patients often times needing to speak loudly to patients. Occasionally the employee will need to carry or lift items over 10 pounds. Due to the large size of our office, the employee will need to walk from one section to the other section looking for charts or supplies.
Work Environment
The work environment is a physician office in which HIPAA should be taken seriously. It is a professional, clean environment and should be kept clean due to the nature of our business. Exposure to bloodborne pathogens and chemicals are present.
