Job Description

Position Title: Administrative Assistant IV
Location: HI-Honolulu
. Is this position a replacement? If yes, has the other worker ended or will there be overlap?
Yes, position replacement. No overlap.

4. What are the hours of the position?
Hours will either be 7:30 - 4:30 or 8:00 - 5:00pm

5. What is the purpose of the position and the major outcomes that are desired with successful fulfillment of the job?
*Would like to find a skilled executive assistant who fits well in our office.
*Would like to hire permanently after completion of temp assignment.

6. Will the resource be managing anyone? No

7. What are the required skills and minimum years of experience you are looking for?
*Must have at least 5 years of administrative experience, including providing direct support for high-level or senior-level executive.
*Must have used electronic scheduling systems (Lotus Notes, Outlook, etc.). See attached JD below:

8. What level of education is required? Desired?
High School required. BA/BS preferred

9. What are the top 3 skills needed to succeed in this position?
*Accurate/detail oriented,
*flexible/adaptive
*ability to work in quick-paced environment

10. What are the top 5 daily responsibilities?
*Executive scheduling (Lotus Notes experience would be a huge plus!)
*Executive travel arrangements
*staffing meetings for VP (set-up, minute taking, etc.)
*providing office support to Julia Morse
* providing general support to VP (signature requests, managing various processes, etc.

11. What are the top 3 personality characteristics needed to succeed in this position?
*Friendly
*professional
*good team player (wants to help)

12. Is there something unique and exciting about the job that can be presented to the candidate as a compelling selling point?
I would ideally like to groom this person to eventually support region president (part of the succession planning process in my office)

13. What is the work environment? (casual, business, remote)?
Professional. In an office suite with 6 executives (two presidents and 4 VPs) No remote work.

17. Will the candidate be working on a medical facility? If so, what percentage of the time? Our office is located in one of our clinic where this person would be working full-time. Full Health Screen Required

Provides more complex administrative support and project coordination for the department head, managers, and or staff members to include the following. Answers phones, screens calls, takes messages, and routes to appropriate members and staff. Greets visitors or outside vendors. May monitor and or respond to routine email inquires for others. 15 percent Manages multiple calendars and schedules and plans meetings. Arranges special events requiring solid understanding of event planning and coordination. Makes travel arrangements for the department head and or staff members. 20 percent Coordinates project proposals and recommends updates to department documents. 15 percent#CBRose#
